we are looking for:

Your responsibilities

  • Independent administration and commercial as well as technical support of your property portfolio
  • Independent administration of residential/commercial properties and potentially commonhold associations
  • Preparation of the annual service charge statement
  • Rent increases and payment for modernisation work

Your profile

  • Completed training as a real estate agent
  • Several years of experience in the independent management of rental/commercial properties
  • Several years’ experience in commonhold association (WEG) management, including chairing owners’ meetings (desirable but not a must)
  • Knowledge of English is desirable
  • Confident handling of MS Office applications and of GFAD Haussoft would be beneficial
  • Good self-organisation skills and the ability to work in a structured manner
  • A positive and engaging manner combined with assertiveness, communication skills and reliability

Your responsibilities

  • Preparation of heating cost statements for the metering companies and entering the relevant billing master data
  • Preparation of operating and heating cost statements as well as housing allowance statements
  • Working in close coordination with the property managers to check and record tenancy agreement regulations as well as the apportionment of individual items and ensuring that costs are allocated appropriately and according to liability
  • Working in coordination with the property managers to process customer enquiries regarding service charge statements as well as objections raised by tenants
  • Checking incoming invoices for their factual and legal correctness and preparing vendor and reference date statements in the event of changes in ownership or management

Your duties may additionally comprise

  • Posting of all types of business transactions in the area of accounts receivable and accounts payable (rent, housing subsidy and cost accounting)
  • Processing of payment transactions, SEPA direct debits
  • Dunning processes
  • Preparation of monthly, quarterly and annual accounts

The successful candidate

  • will have completed a course of commercial training, preferably as a real estate agent, and/or training at basic or advanced level in the field of finance and accounting
  • will have relevant professional experience in the preparation of operating/heating cost and housing allowance statements
  • will have experience of accounting and knowledge of the law as it applies to operating costs
  • will ideally already have basic skills in the use of a property management software, preferably GFAD Haussoft 4.0
